  • You fill out our (online) forms or provide us with information before or during a project.
  • Your employer provides us with your details.

If you are a contact person for your employer, we collect your data when you enter into an agreement with us or inquire about our services.

What Personal Data Do We Collect and Why?

We collect the following personal data to identify and contact you:

  • Name
  • Contact details (email and telephone number)
  • Information about the project you are involved in

The legal basis for this processing is the legitimate interest of your employer.

Depending on the project, we may also collect:

  • Photograph
  • Address
  • Date of birth
  • Gender
  • Passport number

This information helps us organize logistics for projects. The legal basis for this processing is our legitimate interest in planning effectively. Sometimes we must provide this information to comply with legal requirements.

During projects, we may take photographs and videos for documentation and promotional purposes, with the legal basis being our legitimate interest. We strive to focus on group images rather than individuals unless necessary.

For dietary requirements or physical fitness information, we process this data with your explicit consent to ensure your safety and comfort during activities.

We maintain a record of contact persons for ongoing support and after-service. This processing is based on our agreement with your employer.

Data Retention

We retain your personal data for the duration of the project and for 3 to 6 months afterward to handle any follow-up questions or feedback. After this period, we keep only your name and relevant project information for up to two years.

Contact person records are maintained for five years after the last project, and our archives are kept for at least twenty years.

Data Sharing

We share your data with:

  • Logistics companies and content providers who assist in delivering our services.
  • IT service providers like Google, with data stored in the United States under EU Model Clauses for protection.
  • Independent service providers such as venues, transportation companies, local partners, and agencies.

Providing Personal Data via Our Website

When creating a transformation book on our website, you can do so anonymously or provide your name and email to receive the results via email. We temporarily store this data to send you the results and keep your contact information in our client database for future correspondence.

Job Applications
